A. Sponsor Definition

A sponsor may be an institution, organization, company, or individual with mutual interests and objectives that provide reciprocal benefits

B. Agreement

The sponsor is required to review, approve, and sign a cooperation agreement or Memorandum of Understanding (MoU), along with a duly stamped invoice, as mutually agreed upon by both parties (the sponsor and the organizing committee)

C. Payment

The sponsorship fee must be paid in full within 3 days after after the Memorandum of Understanding (MoU) and invoice are signed

D. Sponsor Materials

Sponsor materials, including logos, company names, product names, and other promotional content, must be submitted after the signing of the Memorandum of Understanding (MoU), subject to the following terms:

1). Materials may include logos, company identity, product names, or other promotional content

2). All materials must be prepared by the sponsor and are subject to prior approval by the organizing committee before use.

3). Materials must be submitted in digital format (soft copy)

4). Content must not include direct persuasive or imperative language (e.g., “Drink,” “Eat,” or “Buy”).

5). Content must not contain any elements related to ethnicity, religion, race, or intergroup issues (SARA)

6). Logos or product names must be submitted no later than 3 days after the signing of the MoU.

7). Additional materials, such as promotional videos and banners, must be submitted no later than 7 days prior to the event.

8). All materials must be submitted to the Sponsorship Coordinator (Yosef Aria Pradana)

E. Sponsorship Cancellation

1). Cancellations made before Thursday, 26 August 2026, will incur a penalty of 50% of the agreed sponsorship value

2). Cancellations made after Thursday, 3 September 2026, will incur a penalty of 100% of the agreed sponsorship value

3). Any refund will be issued based on the amount already received, in accordance with the applicable terms

F. Additional Provisions

1). The cooperation agreement may be conducted directly between the proposal representative and the sponsor

2). The organizing committee reserves the right to take appropriate action if the sponsor fails to comply with or violates the agreed sponsorship terms

3). Any provisions not specified in this document will be further discussed and mutually agreed upon prior to the signing of the Memorandum of Understanding (MoU) and the invoice

4). Administrative arrangements may be completed at the organizing committee’s secretariat or at the sponsor’s premises, as mutually agreed

5). In the event of force majeure affecting the schedule or venue, neither party shall be entitled to claim compensation

6). The organizing committee reserves the right to establish additional policies, which will be communicated accordingly
