ABSTRACT SUBMISSION GUIDELINE

TERMS &
CONDITIONS

A. General Provisions

1).The abstract submission is conducted as part of the BRIDGE Symposium, organized by students of the Medical Professional Program, Faculty of Medicine, Duta Wacana Christian University (FK UKDW)
2).
By completing the submission process, participants acknowledge that they have read, understood, and agreed to all terms and conditions stated herein
3).
The organizing committee reserves the right to amend these terms at any time. Any changes will be communicated through official channels

B. Eligibility

Abstract submission is open to:

1).Active FK UKDW students (Undergraduate Medical Program and Medical Professional Program / Co-assistants)
2).FK UKDW alumni, who will be considered external participants and subject to the same requirements
3).External participants (non-UKDW) who are currently active undergraduate medical students, medical professional program students / co-assistants, or licensed medical doctors

Each participant may be listed as an author on more than one abstract but may serve as the first author on only one abstract. Each abstract may include a maximum of four authors

C. Abstract Requirements

1).Abstracts must be written in English
2).Abstracts must be original, have not been previously published, and must not be under consideration for publication elsewhere
3).Topics must be relevant to the BRIDGE theme and may include, but are not limited to :

Evidence-based medicine and its clinical applicability
Original clinical research, systematic reviews, or meta-analyses
Case reports relevant to the BRIDGE theme
Healthcare innovation and implementation in real-world settings

Abstract Structure :

1).IMRaD format (Introduction, Methods, Results, and Discussion/Conclusion) for original research and systematic reviews/meta-analyses
2).Background – Case Description – Discussion – Conclusion format for case reports

Formatting Requirements :

1).Maximum of 250 words (excluding title and author information)
2).Three to five keywords placed below the abstract text
3).Tables, figures, and graphs are not permitted

D. Submission Procedure

1).Abstract submission is available after completing registration and payment via the official symposium website
2).The submission link will be provided in the payment confirmation email
3).Submission opens on : June 13, 2026
4).Submission deadline : July 26, 2026 (23:59 WIB)
5).Late submissions will not be considered
6).Abstracts must be submitted in .doc or .docx format using the official template provided
7).Each team is allowed only one submission
8).Revisions are only permitted during the designated revision period determined by the organizing committee

Presentation Categories

Awards

At the conclusion of the poster session, the following awards will be presented:

Two Best Moderated Poster Awards :
1).One for original research or systematic review/meta-analysis
2).One for the best case report
One Best Poster Award

All awards will be presented in the form of cash prizes

F. Poster Presentation Guidelines

General Requirements :

1).Posters must be prepared in portrait orientation (1080 × 1920 pixels) with a maximum file size of 30 MB
2).File format must be JPEG (.jpg/.jpeg)
3).All posters must be original and adhere to ethical and scientific standards
4).Submissions that do not meet the required format or are submitted after the deadline may not be evaluated
5).Submitted posters may be used by the organizing committee for educational, promotional, and reporting purposes, with proper attribution to the authors
6).Posters must include the official BRIDGE Symposium logo at the top right or left corner, with a minimum height of 2 cm

Moderated Poster :

1).Applicable only to abstracts selected as moderated posters
2).No PowerPoint slides are required; the poster itself will be used for presentation
3).At least one registered author must be present during the scheduled presentation session
4).Presenters must be prepared to respond to questions from the panel of judges
5).If the designated presenter is unable to attend, a co-author or appointed representative may present on their behalf, provided that the organizing committee is notified no later than one day prior (D-1). Once confirmed, changes to the presenter cannot be revised
6).Failure to attend without prior notification may result in cancellation of the presentation slot

Displayed Poster :

1).Applicable only to abstracts selected as displayed posters
2).Participants are only required to submit the poster file in accordance with the specified format and deadline
3).No oral presentation session will be conducted
4).Posters must be printed by participants and submitted to the organizing committee during the symposium

G. Intellectual Property and Publication

1).Authors retain full ownership of all submitted abstracts and related materials
2).
By submitting an abstract, authors grant permission to the organizing committee to publish and use the abstract title, author information, and content for purposes related to the symposium
3).
Authors are responsible for ensuring that their submissions are original and do not infringe upon the rights of any third party
4).
Any issues related to authorship, plagiarism, copyright, or intellectual property rights remain the sole responsibility of the authors

H. Academic Integrity and Ethics

1).All submissions must be free from plagiarism. The organizing committee reserves the right to disqualify any abstract found to contain plagiarized content
2).
Research involving human or animal subjects must include a statement confirming ethical approval from the relevant institution
3).
All listed authors must have made substantial contributions to the work

I. Refund Policy

1).All registration and abstract submission fees are non-refundable and non-transferable
2).
No refunds will be provided for withdrawn submissions, incomplete submissions, non-attendance, or abstracts that are not accepted after review
3).
Refunds will only be considered if the symposium is canceled by the organizing committee and cannot be rescheduled
4).Approved refunds will exclude any bank charges, transfer fees, or administrative costs

J. Disclaimer of Liability

1).Authors are fully responsible for the originality and accuracy of all submitted materials
2).
The organizing committee shall not be held liable for any issues related to plagiarism, copyright infringement, authorship disputes, or other forms of academic misconduct
3).
Submission of an abstract does not guarantee acceptance. The organizing committee reserves the right to reject any submission that does not meet the academic or ethical standards of the symposium

E. Review and Selection Process

All submitted abstracts will undergo a peer-review process conducted by a panel appointed by the organizing committee. Evaluation criteria include:

1).Relevance to the BRIDGE theme
2).Clarity of objectives and research questions
3).Appropriateness of methodology
4).Quality of results and conclusions
5).Compliance with formatting requirements

Accepted abstracts will be categorized as either moderated posters or displayed posters. All decisions made by the organizing committee are final and binding. Results will be announced through official channels on August 14, 2026.
